Childcare Cleaning Log Template: What to Record & How to Use It

Quick answer
A childcare cleaning log should record, for every room and every day, the date, tasks completed, who did them (initials), the time, and any issues such as damage, low stock or pest signs. Add separate records for weekly rotation tasks, toy washing, body-fluid spills and outbreak cleaning, and have the director review and countersign the log weekly.
If it is not written down, it did not happen — at least as far as an authorised officer is concerned. A simple, consistent cleaning log turns your nightly routine into evidence of hygiene practice, helps you spot missed tasks and protects you if something goes wrong.

Why keep a cleaning log?
Assessment evidence
Supports NQS Element 2.1.2 (health practices) and Element 3.1.2 (premises safe, clean and well maintained). See NQS cleaning requirements.
Accountability
Every room has a name against it every night, whether done by staff or a contractor.
Outbreak response
Shows the department and families exactly what was cleaned, when and with what.
Contract management
Lets you hold a cleaning provider to the agreed scope.

Tips for logs that actually get filled in
- Keep it short — one page per night. Long logs get ticked without reading.
- Put the log where the work finishes (cleaner’s cupboard or office), not at reception.
- Use the same room names as your floor plan and cleaning scope.
- Have the director review and countersign weekly, with corrective actions noted.
- Keep logs for at least the period required by your record-keeping policy.
Every Melbourne centre we clean gets a site-specific log, completed and signed each visit. Learn about our childcare cleaning service.
Frequently asked questions
Is a cleaning log required in childcare?
The regulations do not prescribe a specific form, but services must implement adequate hygiene practices and keep premises clean. A cleaning log is the most practical way to evidence that.
What should a childcare cleaning log include?
Date, room, tasks completed, initials, time and any issues, plus separate records for weekly tasks, toy washing, body-fluid spills and outbreak cleaning.
Should a cleaning contractor complete our log?
Yes. Ask your contractor to complete your log (or provide their own) every visit, and review it weekly.
